PolTech Management is run by Stephen McNamara. If you have a question about your information, email

Visiting this website
We don't use advertising or tracking cookies, and we don't use analytics that follow you around the web.
To see which pages are useful, our own server counts visits privately: the page, the website or search engine that sent you there (and any campaign tag on the link you followed), your country and UK region, the kind of device and browser, your screen width and browser language, how long you stayed and how far you scrolled. No cookies are used, and nothing is shared with anyone else. To count visitors without following anyone, your connection and browser are turned into a scrambled code that changes every day, so we can't recognise you from one day to the next. The details are kept for 90 days, then only monthly totals.
The site is hosted on our own server in the UK. Traffic passes through Cloudflare, which protects the site and briefly handles your connection details (such as your IP address) to do so.
Fonts and other files are served from our own server, so your browser doesn't contact Google or other third parties when you visit.
The demos
The leaflet, manifesto, canvass and nomination pack demos run entirely in your own browser using made-up data. Anything you type or upload (such as a photo) stays on your device and is never sent to us.
Write to your representative
To find your representative, the postcode you enter is sent to the free public postcode lookup service (postcodes.io) and to the UK Parliament's members service. Your letter is put together in your browser; we don't receive or keep it.
The PolTech Score and by-election results
These are built from public information: party accounts published by the Electoral Commission, by-election details from Democracy Club, and official declared results. They don't involve information about visitors.
Chatting with Ailsa
Ailsa is an AI assistant. What you type in the chat, and Ailsa's notes for Stephen about your enquiry, are kept on our UK server so Stephen can follow up and prepare for any consultation.
To write Ailsa's replies, the conversation is sent to Anthropic, the company that makes the AI, which processes it in the United States under its commercial terms. Anthropic doesn't use it to train its AI.
Please don't share sensitive details (such as health information, or your own political opinions) in the chat. Ailsa is told not to record them.
If you confirm your email address with a code, Ailsa remembers you next time. You'll need a new code on each visit before she does.
If you book a consultation, your name, email address and the topic go into Stephen's diary, and Rosie, his assistant, emails you the link to the video call. The call itself uses PolTech Conference (see Video calls below). If you choose a phone call instead, your phone number goes into the diary so Stephen can ring you.
If you give a phone number in any of the chat's forms, it's kept with your details so Stephen can call you back. Giving one is optional.
If you join the roll-out list, we'll only email you about the PolTech Management roll-out. Every email has a link to leave the list.
A chat cookie keeps your conversation open for a day, so it's still there if you change page. It isn't used for anything else.
We keep chats and contact records until you ask us to delete them or we no longer need them, and we review anyone we haven't heard from in three years. To have your chats deleted, ask Ailsa to pass on the request, or email us.
Video calls (PolTech Conference)
Video calls with Stephen take place on our own video call service, PolTech Conference, in your web browser. The video and sound go directly between your device and Stephen's. If your network won't allow a direct connection, they pass through Cloudflare's relay; they are encrypted either way.
Calls have live captions. To make them, what's said is sent to ElevenLabs, our speech-to-text supplier.
We keep a written transcript of what is said and typed in the call, and we may record the video. A red "Recording" sign shows whenever we do.
We keep transcripts and recordings for 7 years after the call, as a record of what was discussed and agreed and so we can establish or defend legal claims, then delete them. They're stored on our UK server.
We keep the contact details and messages you send us so we can reply and, if you become a client, provide our services and bill for them.
Client records (contracts, invoices and work logs) are kept for as long as the law requires for business and tax records, normally six years after the end of the financial year they relate to.
Payments by Direct Debit are handled by Stripe. You enter your bank details on Stripe's own secure page; we never see or store them.
Emails from us are sent through Brevo, which tells us whether they were delivered and opened.
Emails you send to [email protected] pass through Cloudflare on their way to us, and are kept on our own server in the UK.
Your rights
You can ask to see the information we hold about you, have it corrected or deleted, or object to how we use it. Email us at the address above. You can also complain to the Information Commissioner's Office (ico.org.uk).
We may keep a call transcript or recording after a request to delete it, where we need it to establish or defend a legal claim.
For any data protection question or request, email [email protected], which goes straight to our Data Protection Officer (also reachable at [email protected]). To ask for a copy of your data, or to have it corrected or deleted, use our Your data rights form. If you think your data has been lost, leaked or sent to the wrong person, please report a data concern.
Complaining to the regulator. If you're unhappy with how we've handled your data, you have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator: online at ico.org.uk/make-a-complaint, by phone on 0303 123 1113, or by post to the Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF. The ICO will usually ask you to raise it with us first, so please give us the chance to put it right. PolTech Management pays the ICO's data protection fee as a data controller.
